Unit 8 - Formal Documents

                                                    Formal Documents
Task 2:

Introduction: Here i will be giving an example and a purpose of the followings, Email, Letter, Receipt and Invitation to meeting which are formal letter.

General Communication:

Email: the method explained below is more of a simple and easier way to communicate with workers and clients from inside and outside of the working field. the main  purpose behind this is to send someone a formal information or message through the access of the internet, you need to know the basics such as their email address (to send the message through) be able to access your email account for instance googlemail, yahoo, msn, etc. In this situation this can be used for formal or informal. Also this also can be used within an organisation this is known as Internal whereas communicating outside an organisation will be known as External.

What should be included in the Email: Whilst writing up a email, you must remember that your email should include, email address receipt, subject this means to explain what your're exactly writing about in brief from the start to the end of the email. Your name must also be on there and if you want you can do a signature and you must remember to write down your state or position that you are in your organisation/business. below i shall give a the basic example on how an email should be written.

Letter: when you are typing a letter this is in the field of generally informing someone, this is known as the 'formal' way to communicate to businesses and other organisations. This can happened through the use of post offices.

What should be included in the letter: When writing a letter the information that is required to be on it is the following.. Your Address, all the contact information of your business including the logo so that the person your sending it to should recognize your organisation. Your letter must also include a letterhead in the corner which must have the date, address, name etc.

Firstly your must include a intro about what you are exactly writing for, secondly you must give the brief of body by adding paragraphs extending your message, and finally your conclusion the end point of your letter explaining to them whether your gonna take action or you want them to do a specific thing. Close your letter with yours faithfully or yours sincerely sign it off with your signature or typed up name. this form of document can also be used for internal and external.

Financial Transactions:

Receipt: receipt is given to a general consumer to unsure the name of the product, whats its price quantity and the total amount of things that has been brought from the organisation. many businesses take a copy of receipt as it should be recorded into their business, to prevent from any frauds, unnecessary refunds and exchanges. The main purpose is to inform the businesses and its target audience's about how many items of products has been sold or purchased and to take in their records of who was the sales assistant what date what is sold or purchased are there any terms and conditions in the company such as refunds and exchanges available in the organisations

What a receipt should include: All the contact information, company's logo, date and time, store number, number of items their prices/total and its terms and conditions at the back of the receipt this type of formal document can be used for external.

Invitation for meeting: invitations are used to invite people for a purpose in the internal or external communication, this is to spread others a specific alert or information. This way of inviting others is used a lot as it is a formal format to allow a person to be invited to discuss and give them information.

What should be Included int the Invitation: What is the meeting generally about, Who is invited and as such who will also be there, Where is the event taking place, When is the event and what time, Description and Brief about the event what will happened at what time etc. this type of formal document can be used for external and internal format.

I will now identify methods of communicating with different audience.

There is much different type of people in this small world; we meet different kind of people depending on where we live, work, or study. There are many methods to communicate, one of the most popular methods is a primary method: via phone, email letter or face to face communication.

The methods that many people use within friends and family are via email, phone and social networks: this is the easiest way to get hold of others many of the sites that are used to communicate are via: face book, twitter: whatsapp etc.

Many organizations communicate with their employees or employers through email and many do record this for training purposes. You will find the company we work with, our family, managers, colleagues, directors have a much clear communication as we are face to face.

Face to face is the primary method is usually used in an education or working environment, many of this methods are used during learning base time.
